Putting the Share in SharePoint
SharePoint acts like our secure digital workspace, ideal for internal team collaborations. However, there are times we need to bring in partners from outside our organization. Just like in any secure environment, we need to follow the right steps to ensure we grant access safely and then extend an invitation to our external colleagues.
This guide will accomplish the following:
- Identify and Confirm a Collaboration Block for SharePoint Site
- Request Access to Invite SharePoint Collaborators

Required Group Membership: N/A
⚡| Only SharePoint site owners can send out invites. To check if you're an owner, go to our SharePoint page you want to share, and click on "Members" up top. If you're listed as an owner, awesome! If not, ask one of the listed owners to perform this on your behalf.
Identify and Confirm a Collaboration Block for SharePoint Site
- When attempting to share a SharePoint site with an external user, if you receive the error, The following person couldn’t be added, this is an indicator that you are not included within the designated collaboration group that is granted the necessary permissions to send collaboration invitations to allowed external domains or users.
- You will be prevented from sharing the desired SharePoint site with an external organization until you are granted the necessary permissions from an administrator. Proceed to the following section to see if this collaboration will be allowed.
Request Access to Invite SharePoint Collaborators
- To be able to invite an external guest to a SharePoint site, you will need the proper permissions. To attain these, send a message via Teams or Email to the person over your IT or a manager. Let them know you would like to collaborate with an external company for SharePoint access. A template for this message can be found below:

“Hello, I have an external company I would like to share the {INSERT SHAREPOINT SITE NAME} site with. I will need the Users.Collaboration group assigned to my account, and the user(s) I would like to invite is/are {INSERT USER(S)}. Thank you!”
- The technical services provider will review the request and perform changes on the backend to allow this to happen. Upon acceptance and completion of the allowance, you should be sent a message giving the green light to invite the guests. Once this confirmation is received, proceed to the Share a SharePoint Site document to learn the steps necessary to invite the collaborator to a SharePoint site. Do not proceed until confirmation is given.
